Payroll Specialist – Downtown Toronto – Hybrid Role
Our Client located in Downtown Toronto is looking for a Payroll Specialist, You will be responsible for ensuring timely and accurate payment to all employees. This includes responsibility for withholding, remitting and reporting legislated deductions, and preparing all payroll related payments.
The Payroll Specialist processes employee benefits enrolments from the HRIS ensuring accurate benefits/payroll entries along with monthly benefit premium reports with payments to benefit carriers.
You will be responsible for below.
- Validate payroll changes as submitted from employees, managers or HR Managers and process payroll on a semi-monthly basis.
- Review and approve various online changes in accordance with policies and procedures.
- Input and audit all entries in payroll system ensuring the accuracy of employee data, benefit enrollment, earning and deduction codes.
- Review time entries (e.g., Overtime, Unpaid time, Unpaid Illness hourly pay, retro pay, statutory holiday pay for hourly employees, severance pay, variable compensation payments) ensuring accuracy and reasonability as per policy and procedures and guidance provided through documentation. Audit all time entries using timesheet module along with manager approval verification.
- Follow-up directly with managers/leaders and employees with any questions or issues that are identified with any payroll matters .
- Process any benefits continuance requests for terminated members.
- Ensure checks and balances are in place to ensure data accuracy.
- Administer benefit provider RRSP plans, including new enrollment / changes / termination and bi-weekly remittance
- Support other Payroll team member by cross training and coaching to meet payroll timelines
- Reconcile and prepare payments for benefit plans, legislated remittance (worker compensation premiums), donations and garnishments.
- Calculate and capture specific required reports for Quebec employees
- Respond to enquiries from various government agencies
- Allocate monthly benefits, administration fees and retirement expenses and any other miscellaneous expenses.
- Track health and dental premiums and changes on a monthly basis in order to provide an overview of how the ASO benefits are trending
- Ensure existing operations are in compliance with all payroll related legislative laws, rules and regulations.
- Reconcile monthly remittance against statements from legislated bodies (e.g. statutory remittance and provincial health premium, etc.).
- Review employee benefit enrolments ensuring accuracy and proper processing through the benefits module.
- Act as first point of contact to mitigate risk related to any regular pay, vacation, or unpaid time overpayment along with necessary action as required.
- Coach, mentor and support team members to develop skills needed to perform their roles by leveraging functionality available through HR technologies and established processes
Requirements
- 5+ years payroll experience in a similar role
- Accounting experience an asset.
- Advanced Microsoft Word and Excel skills
- Advanced knowledge of payroll software
- Exceptional oral and written communication skills
- Excellent organizational and time-management skills
- Ability to multi-task in a fast paced environment
- Strong analytical and problem solving skills
- Proven ability to foster relationships
- Strong customer service skills.
- Self-driven, motivated with the ability to work independently and in a team environment
- Certified Payroll Professional preferred
